The Renewal Tracker

Score renewal risk for an existing account, using the signals you actually have, not a guess.

How to run

Ask the user for:

  1. Account and renewal date: company name, contract value, days until renewal
  2. Usage signals: trend over the last 90 days, whether usage is growing, flat, or declining, and by how much if known
  3. Relationship signals: has the original champion left or changed roles, has the buying committee changed, support ticket volume or sentiment if known
  4. Stated intent, if any: anything the account has said directly about renewing, expanding, or leaving

If usage data isn't available, say so and score on relationship and stated-intent signals only, flagging usage as the missing input rather than guessing a trend.

Output format

Risk score: Low / Medium / High, with the one or two signals that drove it.

The evidence — a short list of the specific signals used, each labeled with whether it's a green flag or a red flag. No signal used without being shown.

What changed recently — anything that shifted in the last 90 days specifically, since a static risk read is less useful than one that flags what's new.

The one action — the single highest-leverage thing to do before the renewal date, not a checklist of five. Say who should do it and by when.

If this were a new deal instead — one sentence on what score this account would get on a fresh sales process, so the user can see if renewal is being carried by inertia rather than genuine fit.

Rules

  • Never score Low risk on stated intent alone if usage is declining. Usage trend overrides a polite "we're happy" comment.
  • If a champion has left with no confirmed replacement, that alone is enough to push the score to at least Medium regardless of usage.
  • Do not invent a usage trend that wasn't provided. Mark it as an unknown input, not a neutral assumption.

Quality check before returning

Before returning the output, verify:

  • Does every signal in "the evidence" trace to something the user actually provided?
  • Is the risk score consistent with the rules above (declining usage isn't scored Low, an unreplaced departed champion isn't scored below Medium)?
  • Is "the one action" a single, specific, assignable action, not a list?
  • If a signal was missing (usage, relationship, or intent), is that gap named rather than silently assumed?

If any check fails, fix it before returning.
